Checklist for creating a new release

Follow the checklist below when setting up a new Release                                                                                           

1. Email Brandscope Account Manager release details
Email must contain:
Release Name
Delivery Months
Currency
Start Date
End Date
Whether it is Indent Sell or InSeason Sell

2. Release is created The Release is created by your Brandscope Account Manager.
They will then email you back to confirm it has been set up.

3. Validate DLS (Data Load Sheet)
ADMIN TASKS >>> UPLOAD PRODUCTS
Select the Brand, Release and your DLS file and then click the VALIDATE option.
If the file contains errors, you will automatically have your DLS file downloaded to your PC with an extra column called “Status”, which lists the errors that will direct you to the issue in the DLS.
If the file is valid, a message will appear in the top right-hand corner saying “file is valid and ready to upload”.

4. Upload DLS
ONLY DO THIS IF YOUR DLS FILE HAS VALIDATED
Repeat the above step, but instead of selecting VALIDATE, you select UPLOAD.

5. Review release in "Draft" mode
Check out the Release and make sure there are no glaring issues. 
While a Release is in “Draft” mode it can be deleted.

6. Assign the Test Retailer to the release 
RELEASE ADMIN >>> RELEASES >>> ASSIGN RETAILERS
Select the Brand, Release and the “Test” Territory.
Tick the box and click Save.

7. Generate Test Order CSV
RELEASE ADMIN >>> RELEASES
Click the shopping cart icon next to the relevant Release.
Select the relevant settings and click GENERATE (speak to your Brandscope Account Manager if unsure on the settings).

8. Add product images
RELEASE ADMIN >>> RELEASES >>> PRODUCT LIST
Under the Images column, select the number next to the relevant Product.

9. Add release banner
RELEASE ADMIN >>> RELEASES >>> EDIT
Scroll to the bottom and add a Banner Image.

10. Create a new Homepage that links to the release
(DO NOT PUBLISH)

Copy your most recent homepage and then tweak the copy with any relevant content that supports the new Release.
Ensure there are tiles/boxes that link through to the new Release.

11. Add Marketing Assets at a product level
Video, PDF’s and any Landscape orientation images can support Products.

12. Email Brandscope Account Manager to take release out of "Draft" mode Brandscope Account Manager to review the Release and make sure there is a release banner and that most Products have images on them before they take out of Draft mode. They will the place into OFFLINE for you to update to the correct status.  Super Supplier Admin & Brandscope Account Manager
13. Publish Homepage
ADMIN TASKS >>> HOMEPAGE TEMPLATES
Click the “tick” icon next to the relevant Homepage to Publish.

14. Assign retailers to the release
If you need to do this via a bulk Excel upload, please contact your Brandscope Account Manager.
RELEASE ADMIN >>> RELEASES >>> ASSIGN RETAILERS
Select the Brand, Release and Territory (if relevant). Remember to use the “Select All” option (if relevant) and then click Save.
Your Brandscope Account Manager can also supply you with a file to update and return if you think this will be easier.

15. Send EDM material to Brandscope Account Manager
Brandscope allows 2 x EDM’s per Release and we strongly recommend using one when launching a new Release to alert the Retailers.
Please give Brandscope Account Manager at least 24 hours to create.
EDM Material = images 600 pixels wide (generally a Brand banner at the top and then 1-3 product/marketing images) and a blurb talking about the new Release.

16. EDM created and sent
EDM and EDM recipient list will need to be approved by the Supplier.
The Supplier lets the Brandscope Account Manager know what time the EDM should be sent.
